VettedCare operates an online directory that helps people across Canada find registered therapists and mental health practitioners. We take your privacy seriously, and this policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have. It is written to align with Canada’s federal Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.
This document is a general template provided for informational purposes only. It is not legal advice and should be reviewed and tailored by qualified legal counsel before VettedCare relies on it or publishes it at launch.
What we collect
We collect only the information we need to run the directory and connect people with care. Depending on how you use VettedCare, this may include:
- Account information. When you create an account, we collect your name, email address, and a password (stored only in encrypted form). Practitioners may also provide a phone number and billing contact.
- Practitioner profile data. If you list a practice, we collect professional details such as your credentials, registration or licence number, areas of focus, languages spoken, fees, photos, and clinic address.
- Booking details. When you request or book an appointment, we collect the information needed to facilitate it, such as your contact details, preferred times, and any message you choose to send a practitioner.
- Usage analytics. We automatically collect limited technical data such as your IP address, device and browser type, pages viewed, and referring links, so we can understand how the site is used and keep it working.
VettedCare is not a clinical service and does not host therapy sessions. Please do not send us detailed health information or clinical notes through the directory.
How we use it
We use personal information to operate, maintain, and improve the directory. Specifically, we use it to:
- Create and manage your account and practitioner listing.
- Display practitioner profiles and help you search and compare options.
- Facilitate booking requests and related communication.
- Respond to your questions and provide customer and technical support.
- Send service messages, and—where you have opted in— occasional updates you can unsubscribe from at any time.
- Monitor usage, prevent fraud and abuse, and keep the platform secure.
- Meet our legal and regulatory obligations.
We rely on your consent and our legitimate business interests as the basis for these uses, and we limit collection to what is reasonably necessary for the purposes described here.
Cookies and analytics
We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how visitors use the site. We use a privacy-respecting analytics provider to measure aggregate traffic and improve the experience; this data is used in summary form and is not used to build advertising profiles. You can control or block cookies through your browser settings, though some features of the site may not work as intended if you do.
Practitioner register data
Part of what makes VettedCare useful is that we mirror information from public regulator registers—for example, the registers maintained by provincial colleges of psychologists, social workers, and registered psychotherapists. This may include a practitioner’s name, registration number, registration status, and any publicly listed practice information. We treat this as publicly available information and display it to help people confirm that a practitioner is in good standing with their regulator.
Registers are updated periodically, so the authoritative source is always the regulator itself. If you are a practitioner and believe register information shown on VettedCare is inaccurate or out of date, please contact us and we will review and correct it promptly.
Data sharing
We do not sell your personal information, and we never trade it for advertising. We share information only in limited circumstances:
- With a practitioner you contact, so they can respond to your booking request.
- With trusted service providers (such as hosting, email delivery, and analytics) who process data on our behalf under contract and only as needed to provide their service.
- When required by law, or to protect the rights, safety, and security of our users, the public, or VettedCare.
- In connection with a business transfer, such as a merger or acquisition, in which case we will notify you of any change.
Some of our service providers may store or process data outside Canada. Where that happens, the information may be subject to the laws of the country in which it is held, and we take reasonable steps to ensure it remains protected.
Security
We use appropriate physical, technical, and administrative safeguards to protect personal information against loss, theft, and unauthorized access, including encryption in transit, encrypted password storage, and restricted access on a need-to-know basis. No method of transmission or storage is completely secure, but we work to protect your information and to respond quickly if a problem arises.
Your rights
Under Canadian privacy law, you have meaningful control over your personal information. You can:
- Access the personal information we hold about you and ask how it is being used.
- Correct information that is inaccurate or incomplete.
- Delete your account and associated personal information, subject to any records we must keep by law.
- Withdraw consent to optional processing, or unsubscribe from non-essential messages.
To make a request, email us at the address below. We will respond within the timeframe required by law and may need to verify your identity first. If you are not satisfied with our response, you have the right to contact the Office of the Privacy Commissioner of Canada.
